We are seeking a dedicated HR Coordinator to join our team.
The HR Coordinator supports the full onboarding lifecycle for all new hires. This role ensures a seamless, compliant, and positive experience from offer acceptance through the employee’s first weeks. The Coordinator partners closely with HR, Talent Acquisition, IT, Payroll, and department leaders to ensure all onboarding tasks including Personnel Action Forms (PAFs) are completed accurately, timely, and in alignment with company’s standards and culture.

KEY RESPONSIBILITIES
Pre-Hire & Offer Processing
- Coordinate pre-hire activities including background checks, drug testing (if applicable), employment eligibility verification, and required documentation.
- Communicate with candidates regarding onboarding timelines, tasks, and next steps.
- Ensure all pre-hire tasks are completed in accordance with federal and state employment regulations.
Onboarding Administration
- Initiate and monitor onboarding workflows in Paycom, ensuring all tasks are completed by both the candidate and internal stakeholders.
- Review onboarding data for accuracy, completeness, and compliance.
- Maintain new hire folders and ensure proper filing of all onboarding documents.
- Process Personnel Action Forms (PAFs) for new hires, rehires, status changes, and other personnel actions, ensuring accuracy and timely submission.
- Validate compensation, job title, department, supervisor, and employment status details reflected in PAFs.
- Provide first-day support to new hires, including login credential distribution and system access coordination.
- Work closely with IT to ensure equipment, system access, and credentials are prepared prior to start dates.
- Coordinate with department supervisors to confirm start dates, reporting instructions, and role-specific onboarding needs.
Compliance & Data Integrity
- Complete I-9 verification and E-Verify processing within required timelines.
- Audit new hire records for accuracy, including rehires and employee status changes.
- Ensure all onboarding activities adhere to federal, state, and company compliance requirements.
- Maintain accurate and compliant PAF documentation and ensure proper routing and approvals.
Employee Experience
- Serve as the primary point of contact for new hires during the onboarding process.
- Provide timely, clear communication to ensure new hires feel supported and informed.
- Identify opportunities to improve the onboarding experience and recommend process enhancements.
REQUIRED EXPERIENCE
- Bachelor’s degree in Human Resources, Psychology, Business Administration or related discipline.
- 2–4 years of experience in HR, onboarding, recruiting coordination, or related administrative support.
- Strong attention to detail and ability to manage multiple onboarding workflows simultaneously.
- Experience with HRIS or ATS platforms; Paycom experience preferred.
- Excellent communication and customer service skills.
- Working knowledge of employment eligibility requirements, I-9 compliance, and onboarding best practices.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience processing Personnel Action Forms or similar employment change documentation.
- Ability to communicate issues with staff at multiple locations.
- Ability to work autonomously and to collaborate fully as a team player.
- Ability to pay close attention to details, and present good planning, organization, and time management skills.
- Ability to work in a team environment and willingness to assume additional or new responsibilities readily.
- Ability to maintain regular attendance as per work schedule agreed with manager (may require working an adjusted work schedule based on project assigned and work overtime if warranted).
- Ability to comply with applicable laws and regulations and Company policies and procedures.
